How it works

Five moving parts. One coordinated session.

It starts at registration, where buyers and suppliers answer the qualifying questions that become their networking profile. From there: attendees browse and request meetings, the system builds the slot grid and assigns the locations, the dashboard tells you what's happening live. Attendees stay in control. Registration and matchmaking are the same module under the hood.

01 · Qualifying registration

It starts with the right questions. Then the matching works.

B2B matchmaking is only as good as the data behind the profiles. Eventtia's registration module lets you design qualifying forms per attendee type. Buyer forms, supplier forms, investor forms, recruiter forms. Ask what matters: objectives for the event, procurement budget for the next 12 months, product categories supplied, geographic reach, decision-making authority. Those answers populate the networking profile directly. No second form, no data re-entry.

  • Forms per attendee type. Each side sees its own questions. Same registration engine, different forms per role.
  • Qualifying logic built in. Mandatory fields, multi-select chips, multi-language.
  • One submission, two purposes. The registration form becomes the networking profile. No separate signup, no data drift.
  • Approval workflows. Validate each profile before it lands in the directory, when the event needs that level of curation.

02 · Profiles & requests

Attendees see each other. Then they decide.

Every attendee type can carry its own networking profile. A buyer profile is not a supplier profile. Declare what you sell, what you're looking for, the categories you work in. Browse the directory, filter by what matters, send a meeting request. The other side accepts, rejects with a reason, or proposes a different slot.

  • Profiles per attendee type. Buyers, suppliers, investors, recruiters. Each side carries the fields that matter for its part of the conversation.
  • Searchable directory. Filter by industry, category, country, or any custom field you define.
  • Directional rules per attendee type. Decide which side initiates: buyers request to suppliers, suppliers request to buyers, or both at once. Shapes the networking dynamic on purpose.
  • Request, accept, reject, reschedule. All from the same interface, on web or in the event app.
  • Rejection reasons that teach you something. Configure your own list and read the patterns afterward.

03 · Slots & agenda

Your time grid, generated in minutes.

Define your meeting day once. Pick a start time, a meeting duration, the number of slots, a break length between them. Generate. Repeat per day. Eventtia produces the slot grid that every meeting request lands on. Twenty-five minute meetings with five-minute breaks, 10 AM to 5 PM, three days running. Set up in under a minute.

  • Bulk slot generation. Duration, count, break length. Done.
  • Manual slots when you need them. Custom durations, off-grid lunch breaks, sponsor sessions.
  • Per-attendee time restrictions. A VIP only available Tuesday afternoon? Block the rest.
  • Live agenda for every attendee. Their meetings, their slots, their next stop. Same data on web and in the app.

04 · Locations

On-site tables, video rooms, or a mix. Same engine.

Eventtia assigns meetings to physical locations — table 12, room 4, booth B-7 — or virtual rooms with a video link generated per meeting, or both at once. Run a hybrid event where a supplier sits at table 12 in Bogotá and meets a buyer joining from Madrid via video. Same slot, two modalities.

  • Auto-assigned tables and rooms. Define your physical layout once. Let the engine fill the seats.
  • Video rooms generated per meeting. Unique link per pairing, available in the calendar invite and the event app.
  • Hybrid as a first-class mode. Tables and video links coexist in the same session.
  • Reassignments handled cleanly. Cancel a meeting, the table reopens. Reschedule, the location follows.

05 · Dashboard

See where every request stands. Measure what happened.

Approved, waiting for response, declined — the dashboard breaks the request funnel out for the whole event, then tracks meetings held, no-shows, and late confirmations through the day. After the event, evaluations from both sides come back as data: quality scores, follow-up intent, free-text notes. The full meeting log exports to your CRM.

  • Request funnel at a glance. Approved, waiting, declined — broken out across the whole event.
  • No-show tracking and reminders. Pending confirmations get nudged automatically.
  • Two-sided evaluations. Both attendees rate the meeting and note follow-up intent.
  • Full export. Every meeting, every evaluation, every contact pair. To CSV or via API into your CRM.

Room to think before the day begins.

Weeks before the room opens, attendees log in from a laptop. They browse the directory, read the full profile, see when the other side is actually free, send the request. The decisions that need space happen on a desktop — with the profile and the calendar in the same view, and time to actually choose.

Common questions

Matchmaking, answered.

What kind of events does this work best for?

Events where the meetings themselves are the point. Business roundtables, supplier-buyer summits, trade missions, recruiter-candidate days, investor-startup matchmaking. Wherever you have a defined audience on each side of the conversation, a fixed window of time, and a room with tables (or video rooms), Eventtia is built for that shape of event. It works less well as a "let's bolt a networking tab onto a 5,000-person conference" feature — for that, the attendee app's general networking module is the right tool.

Does Eventtia do AI matchmaking?

Matchmaking happens through structured profiles and attendee-driven requests. Each side declares who they are and what they're looking for; the directory is searchable and filterable; attendees decide who they want to meet. We don't auto-match by algorithm. For B2B sessions where intent is already clear, the people in the room tend to prefer choosing for themselves over being told who to meet.

Can we run hybrid sessions where some attendees are on-site and others remote?

Yes. The same networking session can mix in-person table assignments and virtual meeting rooms. A supplier at table 12 in your venue can take a 25-minute meeting with a buyer joining from another country via a video link generated for that specific pairing. Both sides see the same meeting in their agenda; each gets the directions they need.

How does it handle no-shows and last-minute rescheduling?

Attendees with pending confirmations receive reminders automatically; you set the cadence. If a meeting is cancelled, both sides are notified and the table reopens. Rescheduling reuses the same flow as the original request — the new slot has to fit both calendars. The live dashboard surfaces no-show rates so your team can intervene during the event, not analyze it afterward.

Can the data sync to our CRM?

Yes. Every meeting, every evaluation, every paired contact is exportable to CSV or accessible via the Eventtia API. Customers commonly pipe the post-event meeting log into Salesforce or HubSpot so the sales team picks up the follow-ups without manual data entry.

How long does it take to set up a networking session?

The mechanics — session, slot grid, profile types, rejection reasons — take an experienced organizer under an hour. The longer work is upstream: defining which attendee types meet which, what profile fields actually matter for your buyers and suppliers, and what your time grid should be. For a first event we typically run a short scoping session with your team. For a recurring program, the second event takes a fraction of the first.
