Every registered guest receives a QR code at confirmation. At the door, the host scans, the platform validates, the attendee is in. The fundamental flow is fast: scan, green check, next. No paper roster, no email confirmation hunt, no manual identity check against a printed list. The host's job is simple, repeatable, and built to handle the volume of arrivals you actually face.

Walk-ins get the same treatment. The host adds the basic information from the app, the platform creates the registration, the guest is checked in immediately — same record, same status pill, same data trail. Day-of additions show up in the same place as everyone else, so the post-event report doesn't need to know they came in late.

Some events need more than the front door. Activity check-in controls access to specific sessions, workshops, and time slots that the attendee pre-registered for, so the right people are in the right rooms at the right times. Checkpoints are generic access points the organizer configures: a VIP lounge open only to VIP attendees, a backstage zone open only to speakers, a media room open only to press.

Checkpoints can be single-entry or multi-entry, and they can be tied to specific attendee types so the wrong person at the wrong door is rejected automatically. One QR code carries the attendee through every layer — no separate badges, no separate apps, no manual cross-checking against a list.

The QR code at the door is built from the data captured at registration. The scan updates the same attendee profile that comms target and analytics report on. Approve a walk-in at the door, the post-event report knows they attended. Edit a profile on the floor, the next email reflects the change. The check-in app isn't a separate tool. Can I use the check-in app without running registration through Eventtia?

Yes. Import your attendee list from Excel or CSV — names, emails, ticket types, any custom fields you've captured elsewhere. Eventtia generates QR codes for the imported list and the app loads them. You can run check-in on the day even if your registration runs on another platform. Many organizations adopt the check-in app first and migrate registration later.

What devices does the Eventtia check-in app run on?

Native iOS and Android. The app runs on phones and tablets, with dedicated builds for each platform. No browser required, no specialized hardware. Most events run it on standard tablets handed to host staff.

Does the check-in app work offline?

Yes. The app holds the event roster locally and processes scans without a network connection. When connectivity returns, it syncs the captured data back to the platform automatically. Important for outdoor events, venues with poor coverage, or moments when the network is overloaded.

What kinds of check-in does the app support?

Three layers, all from the same QR code. Event check-in handles entry to the event itself. Activity check-in controls access to specific sessions, workshops, or time slots that the attendee pre-registered for. Checkpoints are generic access points the organizer configures — single-entry or multi-entry, optionally restricted to specific attendee types — for VIP zones, restricted areas, or any controlled space inside the venue.

Can I restrict access to specific zones or attendee types?

Yes. Checkpoints can be configured to allow only specific attendee types — VIPs only, press only, speakers only — and the app rejects scans from anyone else automatically. Useful for premium lounges, backstage access, or any space where the wrong person at the door is a real problem.

What if an attendee can't find their QR code?

Search by name, email, or any other captured field. The app surfaces the matching record, host confirms identity, and checks them in manually. The check-in is logged the same way as a QR scan — no separate workflow, no parallel data trail.

Can I add team members who only use the app, not the platform?

Yes. The platform includes a dedicated host role with app-only access and configurable permissions. Hosts can be invited with credentials that expire automatically after the event ends, so on-site staff get only the access they need for as long as they need it.

Can the app trigger badge printing?

Yes, with compatible printers. When badge printing is enabled and a supported printer is connected, the app triggers a print automatically each time an attendee is scanned at the entry. The badge contains the attendee's information formatted to your specifications. Check with your account team for the current list of supported printer models.

How does the app sync with the back office in real time?

Every scan is reflected in the platform dashboard live. The on-site team sees counts in the app; the office team sees the same counts in the back office. The data is the same record, surfaced in two places. Reports update as the event runs.

Can guests be created or edited from the app on the day?

Yes. Walk-ins can be added directly from the app — the host captures the basic information, the platform creates the record, the attendee gets checked in. Existing profiles can also be edited on the floor — fixing a typo, updating dietary preferences, swapping a session — and the change syncs back.

What data does the app generate?

Scan timestamps, scanner identity, location (which checkpoint), attendee record. Aggregated, this gives you arrival curves, session attendance rates, zone-level traffic, drop-off points, and per-host throughput. All available in the platform analytics in real time and exportable after the event.

Is the check-in app available in multiple languages?

Yes. The host interface is currently available in English, Spanish, French, German, and Japanese, with more languages on the roadmap. Hosts use the app in the language they're comfortable with regardless of the event's primary language.

How does check-in connect to the rest of the platform?

The check-in record is the registration record. Data captured at registration drives the QR codes; scans at the door update the same attendee profile that comms and analytics operate on. Approve someone at the door, communications and post-event reports reflect their attendance immediately. There is one source of truth for the event.
