Use cases

Every event has a different registration problem. We've built for all of them.

From a simple RSVP to a multi-day conference with parallel tracks. Each scenario below maps to a real category of event where the registration problem is shaped differently.

01 / Attendee types

Different attendees, different experiences. Same event.

Forms, access, content, communications. Tailored per attendee type.

Most events have more than one kind of participant. Members and non-members fill different forms and receive different communications. Adults and minors need different consents. Speakers see a different agenda than attendees. International registrants need visa-support information that local registrants don't. Two or three attendee types is the norm for any event with real operational range.

Eventtia lets you define multiple attendee types per event, each with its own registration form, content, access level, and communication flow. The attendee selects their type, or you route them automatically via a unique link. Either way, they see only what's relevant to them. The organizer manages all types from a single dashboard.

03 / Invitation-only

Your events are by invitation only.

Brand launches, VIP experiences, private previews, board dinners.

When a luxury house runs a private collection preview or a client appreciation dinner, the registration form isn't public. It goes to a curated list, and only that list can register. Some invitations allow a plus-one with a separate form.

Eventtia supports invitation-only events with controlled guest lists, per-invitation unique links, and configurable confirmation flows. The guest list itself is usually built progressively. Regional teams add their own lists, which then consolidate into the master list. Once invitations go out, the dashboard tracks who has registered, who hasn't, and you can send automated reminders to anyone who hasn't responded yet. The attendee sees a clean, on-brand touchpoint. The organizer sees exactly where every guest stands.

04 / Applications

Your event is exclusive. You select your attendees.

Capped masterclasses, curated dinners, accredited press events.

Some events aren't open to anyone who fills the form. A capped masterclass receives 200 applications for 30 seats. A curated networking dinner accepts only attendees who match the host's criteria. A press event requires accreditation review before access is confirmed. The organizer wants to review, filter, and decide.

Eventtia supports application-style registration with post-submission validation workflows. Submissions enter a review queue, and the organizer approves or rejects. Status-based communications go out automatically. No spreadsheets, no separate email threads.

05 / Multi-session

Your program has activities your attendees choose from.

Multi-track conferences, workshop programs, paid optional activities.

A three-day conference with parallel tracks where attendees build their own agenda. A corporate event with restricted workshops because capacity is limited. A program where some activities are included and others have their own price tag. These are parent events with sub-events, each with capacity, sometimes pricing, and always interactions between them.

Eventtia manages parent/sub-event structures natively. Capacity cascades: when a session fills, it closes and the attendee sees alternatives in real time. The organizer builds the program structure once, and the registration form adapts.

06 / Slot-based

The registration is "book a specific time."

Showroom appointments, consultation slots, tasting sessions.

A growing category of events where the registration isn't "attend the event" but "reserve a specific window." A luxury brand opening its showroom for private appointments. A wine estate offering tastings with timed entry. These are time-based experiences where capacity is measured in slots, not seats.

Eventtia's slot-based registration manages availability grids, prevents double-booking, and gives attendees a real-time view of open slots. All within the same registration infrastructure that handles your conferences and galas. No separate scheduling tool needed.

07 / Groups

You're registering groups, not individuals.

Corporate delegations, institutional teams, trade fair exhibitors.

One person registers a team of twelve for a trade fair. A family books an event where a parent registers themselves and three family members, including kids. A corporate representative registers the company's whole group. Group registration means one contact manages multiple attendees. Different information per person, sometimes different access levels, single financial relationship.

Eventtia handles the primary registrant and their guests as a linked unit. Lead contact fills the group form, individual attendees get their own profiles, and the organizer manages communications and check-in at both levels. Payment is consolidated under the lead.

Built into every registration

Capabilities that work across all scenarios.

— Multilingual

15 languages.

Registration forms, confirmation emails, and tickets in the attendee's language. Each event configures the languages it needs, and one event can run in several at once: a Geneva launch registers guests in French, German, and English.

— White label

Your brand, your domain.

Every registration touchpoint is fully branded to your organization. Forms, confirmation pages, emails, tickets, badges. The attendee sees your brand, never Eventtia.

— API-first

Every operation is an endpoint.

Build custom workflows, connect your CRM, push registration data to your warehouse, or let AI agents handle registration operations programmatically.

— Recurrent events

Your attendees come back.

When a known contact registers again, the platform recognizes them and pre-fills their profile from previous events. The contact database evolves across editions instead of starting fresh each year.

— Cancellations

Plans change. The system keeps up.

Attendees can cancel through the platform. Organizers see status updates in real time, and capacity returns to the pool automatically. Refund flows are configurable per ticket type.

— Modifications

Edit answers, update selections, change info.

Attendees can return to their registration and update their information, session selections, or attendee details after submission. Organizers see what changed and when.

Registration → Check-in

Registration doesn't end at confirmation.

The data captured at registration flows directly into on-site operations — access control with checkpoints, badge printing with attendee-specific information, real-time capacity tracking per zone or session. No CSV exports, no manual sync. The registration record is the check-in record.

Common questions

Registration, answered.

Can I set up different registration forms for different attendee types?

Yes. Eventtia supports multiple attendee types per event, each with its own registration form, pricing, access level, and communication flow. Speakers, VIPs, exhibitors, and general attendees can each see a form tailored to them — routed via a unique link or selected at registration. The organizer manages all types from a single dashboard.

Does Eventtia handle paid event registration with different ticket tiers?

Registration and payment are handled together, inside the same form. You can configure multiple ticket types with different pricing, set early bird windows that close automatically, create discount codes, and attach merchandising options. Financial reporting is per event, per ticket type, per coupon code.

How do invitation-only events work?

You upload or build a controlled guest list. Invitations go out to that list, and only the people on it can complete registration: the form isn't public, and a forwarded link doesn't get an uninvited guest in. Some setups allow a plus-one with a separate form. Every touchpoint is fully branded to your organization.

Can attendees apply to an event instead of registering directly?

Yes. Eventtia supports application-based registration where submissions enter a review queue. The organizer approves or rejects each applicant. Accepted participants receive a confirmation; rejected ones get a different communication. The entire workflow runs inside the platform — no spreadsheets, no separate email threads.

How does registration work for multi-session or multi-track events?

Eventtia manages parent/sub-event structures natively. Attendees select sessions during registration. Capacity cascades — when a session fills, it closes and alternatives appear in real time. Some sessions can have their own pricing. The organizer builds the program structure once, and the registration form adapts automatically.

Can one person register a group with a single form?

Yes. Group registration lets a lead contact register multiple attendees at once — each with their own profile and individual data. The organizer manages communications and check-in at both levels: the group and the individual.

Is registration multilingual?

Yes. Registration forms, confirmation emails, and tickets are served in the attendee's language, across 15 supported languages including French, Spanish, English, and Portuguese.

Can I fully brand the registration experience?

Every registration touchpoint is white-labeled. The attendee sees your brand, your colors, your domain — never Eventtia. This applies to forms, confirmation pages, emails, tickets, and badges.

Does Eventtia have an API for registration?

Every registration operation is an API endpoint. Build custom integrations, connect your CRM or marketing automation tools, push registration data to your data warehouse, or let AI agents handle registration operations programmatically. Eventtia is also building an MCP server for event management.

What happens after registration? Does it connect to check-in?

The registration record is the check-in record. Data captured at registration flows directly into on-site operations — access control with checkpoints, badge printing with attendee-specific information, real-time capacity tracking per zone or session. No CSV exports, no manual sync.

What is slot-based registration?

A growing category of events where the registration isn't "attend the event" but "book a specific time." Showroom appointments, consultation slots, tasting sessions with timed entry. Eventtia's slot-based registration manages availability grids, prevents double-booking, and gives attendees a real-time view of open slots. Also known as appointment-based registration or timed-entry booking; in the Eventtia back office, each slot is a session of an activity.

Can Eventtia handle simple RSVP-style events?

Yes, with one nuance. Eventtia uses a registration form rather than a literal yes/no response, but for free events you can configure a minimal form (name, email, optional plus-one) that functions like an RSVP. This works well for free brand activations, member receptions, association mixers, and similar light-touch events. There is no native decline flow. Attendees who can't attend simply don't register.

How does Eventtia handle recurring or annual events?

When attendees register for events they've attended before, the platform recognizes them and pre-fills their profile from previous editions. Returning contacts confirm or update what's changed and skip what hasn't. The contact database evolves across editions instead of starting fresh each year, so organizers maintain a single source of truth for their attendee community.

Can attendees cancel their registration?

Yes. Attendees can cancel through the platform itself. Organizers see status updates in real time, and capacity returns to the pool automatically. For paid events, refund flows are configurable per ticket type. Full refund, partial refund, or no refund depending on timing and policy.

Can attendees modify their registration after submitting?

Yes. Attendees can return to their registration and update their information, session selections, or attendee details after submission. The form re-opens for them, they make their changes, and the organizer sees what changed and when. For group registrations, the lead contact can edit information for any participant in their group.
