FAQ

What association directors always ask.

Can sponsors be managed as part of the event: tiers, portal, visibility?

Yes for the event-side of sponsorship. Sponsorship tiers (Platinum, Gold, Silver, custom) are configured at the event level with pricing, benefits and capacity rules. Sponsors get portal access for their delegates and exhibition staff, visibility across event surfaces, and post-event reporting on engagement. What lives outside the platform: contract execution and invoice issuance. Those stay in your accounting tool, where electronic-invoicing and country compliance rules are already handled. We sync the structured data into your accounting stack so finance has what they need to bill.

Does Eventtia issue or track invoices for sponsors?

Receipt yes, fiscal invoice no. Eventtia generates a proof of payment when a sponsor commits or an attendee registers, but the legally binding fiscal invoice is deliberately not ours to issue. Electronic invoicing and accounts-receivable workflows are country-specific (France's Chorus Pro for public sector, Spain's Facturae, Mexico's CFDI, Colombia's DIAN electronic invoicing), and they belong in tools designed for that. Eventtia exposes a REST API and a set of native integrations that feed the structured data (sponsor commitments, attendee payments, exhibitor packages) into your accounting and ERP stack. Your finance team issues the fiscal invoice from the tool that handles compliance; we keep the data in sync.

Does Eventtia integrate with accounting tools?

Yes. Eventtia ships a full-fledged REST API with documented webhooks, plus existing integrations with tools like TRIBE, Salesforce, PennyLane, Zapier and N8N. Your team or ours can build the specific mapping you need on top of the API. Detail on the API page.

Matchmaking: how does it work for a sector cluster?

The matchmaking module surfaces member profiles by capability, interest and meeting availability, and lets attendees request meetings before and during the event. Directional rules control which categories of members can request meetings with which (e.g., investors can request meetings with start-ups, not vice-versa). Pre-scheduled meeting slots, conflict detection, post-event follow-up. Detail on the matchmaking page.

Can I run multiple events under one Eventtia license?

Yes. One Eventtia license covers unlimited events across the year. The annual congress, monthly webinars, quarterly cluster meetings and one-off forums all live in the same account, without per-event contracts. Each event is configured independently with its own registration flow, communications and sponsor setup.

Member-only access vs public events: can both work in one platform?

Yes. Member-only events can be gated by member-ID verification inside the platform, by an API check against your external member directory, or by restricting registration to specific email domains. SSO is also possible. Public events accept open registration. For mixed events with member rates and public rates side by side, conditional pricing applies the right tier based on the attendee profile at registration.

Multilingual and multi-region for international associations?

Yes. Event pages, registration forms, communications templates and the congress app can all be configured in multiple languages, with conditional content per audience region. For very specific language needs, template configuration may be required. Talked through during implementation.

Pricing: is this affordable for a small non-profit?

Annual licenses for federations and small scientific societies typically run in the low thousands of euros per year, scaling with event volume and complexity. The platform usually pays back through the operational time saved on registration, sponsor coordination and post-event reporting. Implementation: how long until our first event is live?

It depends on how much customization the program needs. A straightforward event can launch in a couple of days. Complex programs with custom branding, multiple integrations and a full sponsor portal take longer. The implementation team works with your events lead, sponsor coordinator and finance contact through go-live, and subsequent events on the same footprint stand up much faster than the first one.
